By continuing to browse and use this website, you agree to comply with and be bound by the following terms and conditions of use, which together with our privacy policy govern Khela Medical Limited’s relationship with you, trading as Private Medical Clinic, in relation to this website. If you refuse to be bound by any part of these terms and conditions, please do not use our services.

Terms and Conditions

These Terms and Conditions govern your use of our services, including face to face consultations, telemedicine appointments, and any other services provided by the Practice. By accessing or using our services, you agree to comply with and be bound by the following terms and conditions of use, which, together with our Privacy policy  govern Khela Medical Limited’s (trading as Private Medical Clinic) relationship with you as a service user. If you do not agree with any part of these terms, you must not use our services.

1. Definitions

  • "Practice": Refers to Khela Medical Limited (t/a Private Medical Clinic)

  • "Patient": Refers to any individual using the services of the Practice.
  • "Services": Includes consultations, diagnostic tests, prescriptions, and any other medical services provided by the Practice.
  • "Website": Refers to https://www.privatemedicalclinic.com/ , the official website of the Practice.

2. Eligibility

  • Patients must be at least 18 years old to book appointments and use our services. For patients under 18, a parent or legal guardian must consent to and oversee the use of our services.
  • By using our services, you confirm that you are legally eligible to do so under UK law.

3. Appointments

  • Booking: Appointments can be booked via our website, phone, or in person. A valid payment method is required, if booking online, to secure your booking.
  • Cancellation: When you book an appointment, you reserve a slot that is no longer available to others. To be respectful to all patients, please inform us as soon as possible if you cannot attend by calling 0121 798 0729 or emailing hello@privatemedicalclinic.co.uk. Cancellations made with less than 24 hours' notice will be charged the full appointment fee, and no refund will be provided.
  • Late Arrival: If you arrive late for your appointment, the consultation may be shortened or rescheduled at the discretion of the doctor.

4. Fees and Payment

  • Consultation Fees: Fees for consultations and other services are listed on our website  and are subject to change. You will be notified of any fee changes in advance.
  • Payment: Payment is due at the time of booking or immediately after the consultation. We accept credit/debit cards, or bank transfers. 
  • Refunds: Refunds are only provided in exceptional circumstances and at the discretion of the Practice. All refunds incur a 10% administration fee and will only be issued to the original payment card, appearing within 5-7 working days. No refunds are given for medications, vaccinations, tests, or treatments once administered or dispensed. Refunds are also not available for completed services.

5. Medical Services

  • Scope of Practice: Our doctors/clinicians provide general medical advice, diagnoses, and treatment plans. If specialised care is required, you may be referred to a specialist.
  • Private Medical Clinic health professionals adhere to the guidelines of their respective regulatory bodies (e.g., General Medical Council). Consultations are conducted in accordance with these professional standards. Private Medical Clinic reserves the right to terminate consultations that breach professional ethics or where inappropriate behaviour is exhibited by the User.
  • Prescriptions: Prescriptions are issued at the doctor's discretion and per mutual agreement. Our doctors issue prescriptions in compliance with the National Institute for Health and Care Excellence (NICE) UK guidelines.​ Private prescriptions are sent electronically to your phone and email, allowing you to conveniently collect your medication from any local UK pharmacy. The total price will vary depending on the medication and the pharmacy’s dispensing fees. We charge a £25 fee for issuing private prescriptions. If our doctor determines that the medication is potentially harmful, inappropriate, unlawful, or illegal, they may decline to prescribe it. A follow-up consultation may be necessary for repeat prescriptions. Any prescription provided is for personal use only. If lost, a copy may be reissued at the doctor’s discretion and may incur an additional fee. The doctor reserves the right to refuse a replacement if deemed inappropriate. You must store medications securely and ensure they are not accessible to others, especially children. Prescriptions provided during a consultation will be valid as indicated on the issued document. If a prescription needs to be reissued due to expiration, pharmacy stock shortages, requests for additional medication, or substitution at the request of the patient, a new treatment request must be made.​
  • Weight Loss Medications: We prescribe weight loss medications where clinically appropriate and in compliance with UK regulatory guidelines. Not all patients will be eligible for prescription weight loss medication. Eligibility is determined by our clinicians based on medical history, BMI, and other clinical factors. Lifestyle-based weight loss programmes are available for those who do not meet the criteria for medicated treatment.​ We provide medically supervised weight loss treatments; however, individual results vary, and we do not guarantee specific weight loss outcomes. Any potential side effects or risks associated with weight loss medications will be discussed during consultations, and patients must adhere to medical guidance regarding their usage. We are not responsible for failure to achieve weight loss goals or for any adverse reactions to prescribed medications.

Limitations on Prescription Services:

  • Chronic and Long-Term Conditions: Our prescription service is not intended for patients requiring ongoing medication for chronic conditions. If a consultation reveals that a patient requires a general or specialist medical review, prescriptions will only be issued after any necessary consultations have been completed and any associated fees have been settled.​
  • Controlled Drugs & Specialist Medications: We do not prescribe controlled substances, specialist medications, or treatments requiring oversight from a specialist clinician.​
  • Dental Concerns: We do not prescribe medications for dental issues, including infections or pain management related to dental problems. Patients requiring dental treatment should consult a dentist.​
  • Discretionary Refusals: We reserve the right to decline consultations or refuse to issue a prescription if, at our sole discretion, it is deemed inappropriate or not in the patient’s best interest.

Pharmacy Fulfilment and Prescription Validity:

  • Patients are responsible for ensuring prescriptions are filled at a pharmacy of their choice and covering any costs associated with purchasing the medication.
  • Our clinic does not guarantee medication availability at any pharmacy and is not liable for pharmacy-related issues, including stock shortages, errors, or product defects.
  • Prescription services are provided exclusively within the United Kingdom, and prescriptions can only be issued to patients who are UK residents. If you are not based in the UK, you must inform the doctor before the prescription is issued.
  • Diagnostic Tests: If diagnostic tests are required, you will be informed of any additional costs and procedures.

6. Membership Plans Terms & Conditions

At Private Medical Clinic, we offer private GP membership plans designed to provide fast, reliable, and high-quality healthcare. Our membership plans include a set number of consultations, health screenings, and discounts on additional services. 

  • Single Membership (£79 per month): Includes 10 GP/Clinician consultations per year (face-to-face. telephone or video), 1 annual health screen, 10% discount on blood tests and procedures (such as ECG and Spirometry), free prescriptions, and priority access to appointments within 24 hours.
  • Couples Membership (£149 per month): Includes 20 GP/Clinician consultations per year (shared between two adults), 1 annual health screen per adult, 10% discount on blood tests and procedures (such as ECG and Spirometry), free prescriptions, and priority access to appointments within 24 hours.
  • Family Membership (£199 per month): Includes 30 GP/Clinician consultations per year (shared between two adults and two children under 17), 1 annual health screen per adult, 10% discount on blood tests and procedures (such as ECG and Spirometry), free prescriptions and priority access to appointments within 24 hours.

Additional children can be added to the Family Membership for £39 per month per child, which includes 5 additional GP consultations per year.

Membership Eligibility

  • Membership is open to individuals aged 18 and above. In order to include minors under the age of 18, at least one parent must be registered as a member.
  • Members must provide accurate and complete personal information during registration.  
  • The Practice reserves the right to refuse or terminate membership at its discretion.

Appointment Policy

All GP/Clinician consultations are 15 minutes in duration. If a longer consultation is required, two appointment slots will be used.

If you arrive more than 10 minutes late, we may not be able to accommodate you, and the appointment may be forfeited. This decision is at the discretion of the doctor and our administrative team.

Appointments must be cancelled with at least 24 hours' notice to avoid losing the consultation. If an appointment is cancelled with less than 24 hours’ notice, it will be classed as a missed appointment and will not be rescheduled. However, if an appointment is cancelled more than 24 hours in advance, it will remain available for future use within your membership plan.

Membership Cancellation Policy

Our memberships are based on a minimum 12-month contract. You may cancel within 14 days of joining, but if any services have been used within this period, we will deduct the cost of those appointments at our standard pay-as-you-go rates before issuing any refund.

After the initial 12-month period, you may cancel your membership by providing 30 days’ written notice. Cancellation requests must be submitted via email to info@privatemedicalclinic.co.uk.

We reserve the right to terminate a membership at any time if there is inappropriate use of our services or failure to comply with these terms and conditions. In such cases, members will be notified, and the cancellation will take effect immediately.

Failed or Missed Payments

If a membership payment fails, we will attempt to process it again within 72 hours. If the second attempt is unsuccessful, the membership will be temporarily suspended. If payment is not made within 5 days, the membership will be permanently suspended, and any unused consultations or benefits will be lost. To reinstate a suspended membership, a new application will need to be submitted, and approval will be at the discretion of Private Medical Clinic.

Additional Fees & Charges

Any additional services used outside of the membership plan will be charged separately. You will be informed of any additional costs before proceeding with any treatment, and these fees must be paid in full before the service is provided.

Amendments to Terms & Conditions

Private Medical Clinic reserves the right to update or amend these terms and conditions at any time. Any significant changes will be communicated to members, and continued use of our services will indicate acceptance of the updated terms.

7. Privacy and Data Protection

  • Data Collection: We collect and process personal data in accordance with our Privacy Policy, which complies with the UK General Data Protection Regulation (GDPR) and the Data Protection Act 2018.
  • Confidentiality: All medical information is treated as strictly confidential and will only be shared with third parties (e.g., registered NHS GP practice, specialists, hospitals, laboratory) with your explicit consent, except where required by law.

8. Patient Responsibilities

  • Accurate Information: You must provide accurate and complete information about your medical history, symptoms, and any medications you are taking.
  • Compliance: You agree to follow the treatment plans and advice provided by our doctors. Failure to do so may affect the quality of care you receive.
  • Respectful Conduct: You must treat our staff and doctors with respect. Abusive or inappropriate behaviour will not be tolerated and may result in termination of services.

9. Limitation of Liability

  • The Practice will not be liable for any indirect, incidental, or consequential damages arising from the use of our services.
  • While we strive to provide the highest standard of care, we cannot guarantee specific outcomes or results from consultations or treatments.

We are responsible for any losses you suffer caused by us breaking this contract unless the loss:

  • Was not obvious or foreseeable, and nothing you informed us about before we accepted your booking made us reasonably expect it;
  • Was caused by an event outside of our control. If an external factor delays your service, we will inform you as soon as possible and take steps to minimize disruption. However, if the delay exceeds one hour from your scheduled online video consultation or is substantial for another service, you have the right to cancel and receive a refund for any prepaid but unused services;
  • Could have been avoided by taking reasonable action, including following our medical advice and instructions; or
  • Is related to your business, trade, craft, or profession, in which case our services are not intended for business use.

9.1 Third-Party Laboratories

We work with independent third-party laboratories to process diagnostic tests. While we strive to ensure timely and accurate results, we do not accept liability for:

  • Delays in receiving laboratory reports.
  • Errors, inaccuracies, or omissions in laboratory reports.
  • Any losses or damages arising from delayed or inaccurate laboratory reports.

9.2 Exclusions

Nothing in these Terms and Conditions excludes or limits our liability for:

  • Death or personal injury caused by our negligence.
  • Fraud or fraudulent misrepresentation.
  • Any other liability that cannot be excluded or limited under applicable law.

9.3 Patient Responsibility

  • You acknowledge that the advice and treatment provided by our doctors are based on the information you provide and the results of any diagnostic tests. If you fail to provide accurate or complete information, or if there are delays or errors in laboratory reports, we cannot be held liable for any resulting losses or damages.

By using our prescription service, you agree:

  • That all information provided to our doctors is true, accurate, and complete, and you will notify us of any relevant changes before or during consultations.​
  • That only you, or the person named on the prescription, will take the prescribed medication.​
  • To follow all medical advice and instructions provided by the prescribing doctor.​
  • To seek immediate medical attention if you experience adverse effects from the prescribed medication.

11. Amendments to Terms and Conditions

  • We reserve the right to update or modify these Terms and Conditions at any time. Any changes will be posted on our website, and your continued use of our services constitutes acceptance of the updated terms.

12. Governing Law

  • These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from these terms will be subject to the exclusive jurisdiction of the courts of England and Wales.

Response to Enquiries and Operating Hours

Doctor Availability: Our doctors are available for consultations seven days a week from 9:00 AM to 9:00 PM (UK time).​

Administrative Support Desk Hours: Our administrative support team is available from Monday to Friday, 8:00 AM to 7:00 PM (UK time).​ Saturday 9:00 AM to 1:00 PM (UK time).​

Bank Holidays: Our operating hours on UK bank holidays may vary. Any changes to availability will be communicated in advance.​

  • By using the services of our Practice, you acknowledge that you have read, understood, and agree to these Terms and Conditions.
